Sigma End-of-Year Conference – Professional AV Production at Rogerthorpe Manor
For the third time, Audioserv was delighted to be invited back by Sigma to provide complete corporate conference AV production for the company's annual end-of-year conference and staff awards ceremony.
This year's event took place at the beautiful Rogerthorpe Manor Hotel, situated near Pontefract in West Yorkshire, with approximately 200 delegates attending.
Having provided the technical production for two previous Sigma conferences, we were pleased to be asked to return and once again support the company's annual event.
The conference brought together staff for a day of presentations, company updates and promotional videos, before concluding with an awards ceremony recognising the achievements of employees.
With multiple presentation screens, professional sound reinforcement, video distribution and music playback to coordinate, our team was responsible for ensuring the technical aspects of the event ran smoothly from start to finish.
Here's how we brought everything together.
A Beautiful Venue for a Corporate Conference
Rogerthorpe Manor Hotel provided an excellent setting for Sigma's annual conference.
The venue's attractive conference facilities offered a comfortable environment for approximately 200 delegates, with a relatively low ceiling that suited the layout of the event.

However, the room's dimensions and seating arrangement meant that careful consideration was needed when designing the audio and visual systems.
One of the main requirements was ensuring that every delegate could clearly see the presentation content, regardless of where they were seated.
With a full programme of PowerPoint presentations and promotional videos scheduled throughout the day, reliable video distribution was particularly important.
Rather than relying on a single large screen at the front of the room, we designed a multi-screen solution that would provide clear sightlines throughout the conference space.
This also gave the organisers greater flexibility when displaying different content during the event.
Multiple Projection Screens and Large-Format Displays
For the main presentation system, Audioserv supplied two Panasonic laser projectors, each paired with a professional fast-fold projection screen.
The projection screens were positioned to provide good visibility across the conference room, allowing delegates to follow the presentations comfortably.
Laser projectors are particularly useful for corporate events, providing bright, consistent images without the need for traditional projector lamps.
To complement the projection system, we also supplied additional 65-inch and 75-inch television screens, creating further viewing points around the room.

This combination of large-format displays and projection screens ensured that the presentation content could be viewed from different seating positions.
Throughout the day, the screens were used to display PowerPoint presentations, company information and promotional videos.
By combining multiple display technologies, we were able to design a system around the actual conference room rather than expecting a single screen to accommodate everyone.
It's an approach we regularly use when providing conference projector and screen hire for hotels, meeting spaces and larger corporate venues.
Flexible Video Production Using vMix 4K
With several screens and different types of presentation content to manage, we needed a video production system capable of handling everything efficiently.
For this conference, we used our vMix 4K video production system, which provided centralised control over the various video sources and display outputs.
Sigma's PowerPoint presentation was operated from one of their own MacBook laptops, which was connected to our vMix system.
We also loaded the promotional video content directly into vMix, allowing our engineers to switch between the live laptop presentation and preloaded videos as required.
One of the main advantages of using vMix for corporate conferences is the flexibility it provides.

Rather than being restricted to sending the same image to every display, we can configure and route different content to individual screens or groups of screens when required.
This is particularly useful for events involving multiple presentation sources, video playback, live cameras or different display arrangements.
Throughout Sigma's conference, our engineers could manage the video content from a central position, ensuring presentations and promotional material appeared on the appropriate screens at the correct time.
The system also allowed us to accommodate changes during the event without having to physically reconfigure the display connections.
For corporate conferences with a busy programme, having that level of flexibility can make a considerable difference to the overall production.
Professional Conference Audio with RCF Column Speakers
Alongside the video production, providing clear and intelligible sound throughout the conference room was another important consideration.
For Sigma's event, we selected our RCF professional column speaker systems.
These speakers are particularly well suited to corporate conferences, where speech intelligibility and consistent audio coverage are essential.
Their slim, unobtrusive appearance also makes them an excellent choice for hotel conference rooms and other venues where the audio equipment needs to blend into the surroundings.
Unlike larger conventional PA speakers, column systems can provide effective sound reinforcement while maintaining a discreet appearance.

This was particularly beneficial at Rogerthorpe Manor, where we wanted the equipment to complement the venue rather than dominate the room.
The system provided audio reinforcement for the presentations, promotional videos and awards ceremony, ensuring the content could be heard clearly by delegates throughout the conference.
Our engineers managed the sound using an Allen & Heath SQ5 digital mixing console, providing centralised control over the various audio sources.
The SQ5 offered the flexibility needed to accommodate the different stages of the conference while maintaining consistent sound levels throughout the day.
Simplifying Audio Distribution with Allen & Heath
One of the useful technical features of our audio setup was the integration of an Allen & Heath DX168 stagebox.
The stagebox was positioned at the stage end of the conference room, providing a convenient connection point for equipment located away from the main mixing position.
Rather than running multiple individual audio cables between the stage and our mixing console, the DX168 was connected using a single Cat6 cable.
This substantially simplified the cabling requirements and allowed us to keep the installation neat and organised.
For temporary conference installations, reducing the amount of cabling across a venue is always beneficial, particularly where equipment needs to be installed around tables, seating and presentation areas.
The combination of the Allen & Heath SQ5 and DX168 provided a flexible audio system that could accommodate the conference presentations and the additional music requirements later in the day.
It's another example of how modern digital audio equipment can help simplify the technical infrastructure required for professional events.
Adding Something Different for the Staff Awards Ceremony
One of the new requirements for this year's conference was the introduction of walk-on music for the staff awards ceremony.
Rather than simply playing individual music files from the presentation laptop, Sigma wanted the awards section to have a more polished and engaging atmosphere.
To achieve this, we supplied a complete Pioneer DJ equipment setup, consisting of two Pioneer CDJ-2000NXS2 media players and a Pioneer DJM-900NXS2 mixer.
This provided dedicated music playback and mixing control for the awards presentation.
The Pioneer system was connected to our Allen & Heath SQ5 mixing console, allowing the music to be incorporated into the main conference sound system.
With dedicated DJ equipment available, the awards ceremony could feature appropriately timed walk-on music as members of staff were invited forward to receive their awards.
It was a relatively simple addition to the overall production, but one that helped differentiate the awards section from the earlier conference presentations.
The combination of music, professional audio and the existing visual displays helped create a more engaging atmosphere for the final part of the event.
It's also a good example of how professional AV production for corporate events can extend beyond basic presentations, incorporating additional entertainment and production elements where required.
Reliable Video Distribution Using Fibre and SDI
With two projection systems and additional large-format television screens positioned around the conference room, reliable video distribution was essential.
For Sigma's conference, we used a combination of fibre-optic video links and SDI connections to distribute the presentation feeds around the venue.
These technologies are well suited to professional event production, particularly when signals need to travel between equipment positioned at different locations.
Fibre-optic connections are especially useful for longer cable runs, while SDI provides a dependable method of transporting professional video signals.
Using the appropriate connection methods for each part of the installation allowed us to distribute the video content while maintaining high picture quality and low latency.
This was particularly important when switching between the live PowerPoint presentations and promotional videos throughout the conference.
With all the displays connected to our central vMix production system, our engineers could manage the video feeds without having to make changes at each individual screen.

The result was a flexible and reliable video distribution system designed around the requirements of the event.
Another Successful Conference for Sigma
Following a full day of presentations, company updates and the staff awards ceremony, Sigma's end-of-year conference came to a successful conclusion.
The combination of Panasonic laser projection, large-format television screens, RCF column speakers, Allen & Heath digital audio equipment and our vMix video production system provided everything needed to support the day's programme.
For the Audioserv team, it was particularly rewarding to have been invited back for a third event.
Building relationships with returning clients allows us to develop a better understanding of their requirements and refine the production to accommodate new ideas.
Each Sigma conference has presented its own technical requirements, and this year's introduction of dedicated music playback for the awards ceremony was another example of how the production continues to develop.
Following the event, the client expressed their satisfaction with the technical production and asked Audioserv to return for their 2026 conference, this time at Wakefield Trinity Rugby Club.
We're delighted to have been asked to support another Sigma event and look forward to adapting the production to suit the new venue.
A huge thank you to everyone at Sigma for once again placing their trust in Audioserv.
