For the third time, Audioserv was delighted to provide professional audio-visual production for the National Sea Cadet Conference, held at PGL Dearne Valley Activity Centre near Doncaster.
With 300 delegates attending, the event required a substantial sound and visual setup to ensure everyone could clearly see and hear the presentations throughout the day.
The conference took place in the activity centre's main sports hall, which provided plenty of space for the delegates but also presented some interesting challenges when it came to sound coverage and screen visibility.
Our team was asked to supply a complete conference AV solution, including professional sound reinforcement, large-screen projection, staging, wireless microphones and additional sound equipment for the DJ entertainment following the conference.
Large-Screen Projection for 300 Delegates
With such a large audience, one of our main priorities was ensuring that presentations could be viewed comfortably from throughout the sports hall.
Rather than relying on a single central screen, we supplied two Panasonic 6,000-lumen laser projectors, each paired with a 3m Fast-Fold rear projection screen.
This provided two large displays, allowing delegates seated across the hall to follow the presentations without having to rely on one screen positioned at the front.
The Panasonic laser projectors provided excellent image quality and brightness, making them well suited to the conference environment.
Using rear projection also allowed us to position the projectors behind the screens, keeping the main presentation area clear and avoiding the possibility of presenters walking through the projected images.
We also supplied a stage for the presenters, together with a 32-inch comfort monitor, allowing speakers to view their presentation content without constantly turning around to look at the main screens.
It was a practical setup that helped keep the presentations running smoothly throughout the conference.
Professional Conference Sound Using RCF Column Speakers
Providing consistent sound coverage across a large sports hall requires careful consideration.
Sports halls are designed primarily for physical activities rather than conferences, and their size and hard surfaces can make speech intelligibility a challenge.
For the main sound system, we selected four of our RCF column speakers.
These were particularly well suited to the venue because their controlled vertical sound dispersion helped us direct sound towards the audience while reducing unnecessary reflections from the floor and ceiling.
The result was a more focused sound system, helping delegates hear the presentations clearly without needing excessive volume.
However, the conference wasn't the only activity taking place!
Once the formal proceedings had finished, the event would move into its entertainment programme, with a DJ taking over.
To provide the additional low-frequency performance needed for the music, we combined our RCF column speakers with RCF 708A bass enclosures.
This gave us a versatile sound system capable of delivering clear speech during the conference and a fuller, more powerful sound for the DJ entertainment afterwards.
Eight Additional Delay Speakers for Consistent Coverage
With 300 delegates spread throughout the sports hall, relying entirely on the main front speakers would have made it difficult to achieve consistent listening levels across the entire audience.
To address this, we installed eight additional MT8 passive loudspeakers, positioned as delay speakers throughout the venue.
These were powered by one of our professional Linea Research amplifiers, giving us the flexibility to distribute sound effectively across the listening area.
By using a combination of main speakers and additional delay speakers, we could provide more consistent coverage throughout the hall without having to push the front sound system excessively hard.
This approach helped us achieve the balance we were looking for, delivering clear speech for the conference while ensuring the system could also handle the more demanding audio requirements of the evening entertainment.
Sennheiser G4 Wireless Microphones
For the conference speakers and presenters, we supplied our Sennheiser Evolution G4 wireless microphone systems.
These provided the flexibility required for presentations, allowing speakers to move freely around the stage without being restricted by microphone cables.
With so many delegates attending, dependable microphone performance was essential to keeping the event running smoothly.
The combination of Sennheiser wireless microphones, RCF loudspeakers and Linea Research amplification provided a reliable professional audio system throughout the day.
A Successful Conference and a Returning Customer
The National Sea Cadet Conference was another fantastic event to be involved with, and we were extremely pleased with how the entire audio-visual setup performed.
From the large dual-screen projection system to the carefully distributed sound reinforcement, the equipment worked together to provide a professional conference experience for the delegates.
